The Yorkshire Sikh Forum (“the Forum”, “we”, “us”) is the Data Controller for the personal information you share with us through this website, at our events and in the course of Forum membership. This notice explains what we collect, why we collect it, how long we keep it and the rights you have under the UK General Data Protection Regulation and the Data Protection Act 2018.
What we collect
We collect personal information that you choose to give us, including:
- Membership applications — name, email, phone, town, address, gurdwara, profession.
- Event RSVPs (Vaisakhi and other gatherings) — name, email, phone, guest count, dietary and accessibility needs.
- Business directory listings — business name, owner name, contact details, town, category.
- Contact form enquiries — name, email and the message you send us.
- Newsletter signups — email address only.
- Sponsorship enquiries — your name, organisation, tier of interest, message.
How we use it
We use your information only to run the Forum — to administer events, communicate with members, list businesses in the directory, send the newsletter you signed up to, and reply to enquiries. We do not sell or share your details with third parties for marketing.
Our lawful basis
We process most data under consent (the boxes you tick on each form) and legitimate interest (running a community organisation and replying to enquiries you initiate). For directory listings we also rely on contract — the listing terms you accept when you submit a business.
Where your data lives
Member records, RSVPs and enquiries are stored in a Supabase database hosted in the European Union. Emails are sent via Resend. We host the website on Vercel. All providers are bound by their own UK GDPR-compliant terms.
How long we keep it
Membership records are kept for as long as you are a member, plus two years after you resign or your membership lapses. Event RSVPs are kept for twelve months after the event. Contact enquiries are kept for twenty-four months. Newsletter subscriptions are kept until you unsubscribe.
Your rights
You have the right to ask for a copy of the data we hold about you, to have it corrected if it is wrong, to have it deleted, to restrict or object to its use, and to take it elsewhere (data portability). To exercise any of these rights, write to info@yorkshiresikhforum.org and we will respond within one month.
You also have the right to complain to the UK Information Commissioner's Office (ICO) at ico.org.uk.
